Pride Community Management HOA Transition Plan
It is the desire of Pride Community Management to make every effort to ensure a smooth transition from your previous management company. To accomplish this, the following plan is set in place to ensure a complete and seamless transition from the previous management company into the pride family of communities.

  • Establish contact with the outgoing management co. Once the outgoing management company has received notification of termination of contract from the board of directors, pride management company will contact and meet with the exiting management company’s representative and establish procedures for transfer of information, association and homeowner records, and coordinate completion of responsibilities undergoing contract.
  • Update banking information This is necessary to coordinate an establishment of new accounts, transfer association balances, execute new signatory cards, and coordinate assessment collection and billing activities (lockbox direct deposit, ach debiting, invoicing assessments at the appropriate time, etc.), ordering checks, securing new sure pay debit authorizations from homeowners utilizing this service.
  • Accounts payable and vendor information Upon receipt of a vendor list, Pride Community Management will make arrangements for address changes and payables contact changes with all association vendors. We will research payment terms and schedules for all vendors and ensure w-9’s, insurance certificates and workmen’s compensation policies are current. Finally, we set opening and year to date vendor balances to generate accurate year-end form 1099s.
  • Accounts receivable and legal collection files As part of the financial coordination with the outgoing management company, individual homeowner delinquent account information will be provided to our collection attorney. Updated collection activity reports will be obtained and maintained to track existing legal cases with your current legal counsel separately from future submissions.

Financial statements and general ledgers
Transfer of this information becomes the basis of the new accounting information system. Policies and procedures are reviewed and/or established to conform to the homeowner’s association articles, bylaws, cc&r’s and rules and regulation documents. Pride’s accounting manager will work closely with the prior management company’s accounting department to ensure smooth transition of finances and resolve outstanding financial concerns. The board will be apprised as to whether interim financial review or transition audit is recommended.

  • Homeowner files When these are transferred to pride’s custody, our administrative staff will begin to enter them into our records and software systems. During this process, pride staff will audit files for outstanding compliance and financial issues as well as integrity of the data.
  • Update to legal documents Working with the association’s attorney, pride will update corporation commission contact information for the association and statutory agent information. Any regulatory agencies having jurisdiction shall similarly be notified.
  • Insurance review Pride shall initiate a complete insurance audit and risk assessment of the community to ensure the association and related assets are properly protected and all requirements are met.
  • Notification of homeowners One of the most important processes is communicating to the membership the change in management services. Pride provides a welcome packet complete with pride's contact information, payment processing information, and also any communication provided directly from the board of directors. Communication is an ongoing issue as this is generally a major concern for the membership. We work closely with the board over the next several months to ensure this process happens in the most efficient and customer-friendly fashion.

Community walk-through
Whenever possible the pride community manager will attempt to do a thorough board walkthrough. This helps to eliminate the expectation gap that can exist when the board and the management company have a different understanding of the scope of work and supervision being contracted for. Together goals and objectives will be set and utilization of common areas and established priorities for upgrades and repairs will be reviewed. This also allows the manager to familiarize themselves with the property and the current landscaping issues.

  • Transition board meeting If the board agrees, this is a workshop session between the board and the staff to get to know each other plan a creative strategy, creates policies and procedures, train board members in appropriate governing methods, familiarize the board with reference manuals, and ensure our relationship starts strong and builds from there.

There can be challenges that arise in the process, but communication and a strong working relationship between the pride staff, the board and the membership always overcome these challenges. Upon award of the contract, dates are included with this plan so that progress can be tracked, measured and evaluated. The pride management staff has transitioned properties of all sizes, stages of development and conditions. Our business and corporate operations departments are each headed by individuals who have multiple years of experience in the field.
